In a previous article, we discussed the benefits of using Labels in Gmail to set up your incoming messages, and to store important messages in an easy-to-find folder-style system. If Labels are new to you, here’s the important thing: Labels are similar to the folder system that’s used on the hard drive of personal computers to store digital information. Both Windows and Mac use the folder concept. In Gmail, the Label system enables you store and sort incoming e-mail messages. You can either move individual messages to its own Label (think “folder”), or have the Gmail system automatically move messages to their specified Label for you. Keep reading to find out how.
Why would you use Labels in Gmail? If you’re a businessperson who uses Gmail when your everyday e-mail client, it is possible to separate e-mails according to different projects, clients or some other categories. For private use, Labels may be used to organize e-mail messages from friends, family as well as others, or for other important things you need to keep in mind. As you commence to use the Label feature in Gmail, you’ll find your personal ways to use it. Needless to say, just about the most powerful attributes of inbox zero tools is that it never completely deletes any e-mail message (until you tell it to). All e-mail messages are held in the “All Mail” Label, and can be obtained having a simple, Google-like search function – but that’s another article for another day.
To access the Label function, search for the little gear-like icon at the very top-right corner of your own Gmail inbox page. Give that the single left-click and a small menu will open. Another left-click on the first item saying “Mail Settings,” and you’re on the Settings page. On that page, you’ll see a long list of text links across the top: General, Accounts, Filters and much more, including Labels. Click on the Labels link to attend that page.
One thing you’ll see are definitely the built in, standard-equipment Labels that come with all Gmail accounts: Inbox, Starred, Chats, Sent Mail, Drafts, All Mail, Spam and Trash. Those are the “standard” Labels you see down the left-side column in the Gmail mail page. It is possible to click on the “Show” or “Hide” links off to the right of every Label to accomplish just that – show or hide the hyperlink on the main Gmail page, however you cannot delete or change them in any other way – they’re hard-wired to the Gmail system.
Underneath the standard Labels, you’ll see a divider line, then this word “Labels” and a text-input box to “Produce a New Label.” If you haven’t created any labels yet, there won’t be anything listed under this box. When you create and manage new Labels, those Labels will be listed in alphabetical order down the page. As you create new Labels, you’ll have the ability to show or hide uzrykq also, or delete the Label entirely. It’s worth noting, that even though you delete a Label, the messages that have been saved in that Labels folder is definitely not deleted. The messages will still be “findable” by searching using your entire e-mail database.
When you have labels create, you’ll discover them placed in the left-hand column on the Gmail inbox page – right underneath the “standard” labels including Inbox, Drafts, Spam, Sent Mail plus some others. Remember, while we said in the last article, that you can choose to either “hide” or “show” the label by yourself Gmail page, so be certain you’ve chosen to demonstrate those you should see.
So – you’ve got e-mail messages coming in to your Gmail inbox, and labels you want to put a few of these message into…now what? First, let’s talk about “manually” moving a few of these incoming messages. Remember, labels are just like the “folders” that show up in other e-mail systems and even on the hard disk drive of your computer. It’s just another term for the storage system. Knowing that, here’s how to move messages: Of course you’ve probably notices, that as new messages arrive in your Gmail inbox, the unread ones are shown in bold text. Once you’ve read them, they can be found in normal text. Each message appears in the Gmail inbox as a separate line of text, showing (reading from left-to-right across the message) the sender, the topic line as well as the date or time your message arrived in your inbox.
But when you gaze closely, you’ll see three more items on each message line, in the very left of the text. Starting on the very left is – for absence of a much more technical term – a small group of eight little spots or dots. They search almost like perforations on the website. They’re designed to represent a place you are able to “grab” the content and move it. And also by grab, we mean click on it together with your mouse (left mouse button to suit your needs PC folks available). Once “grabbed” you can drag the content to any among the labels displayed on the left side in the window, including the built in Gmail labels, or any label you’ve created yourself. As you click on those little dots, you’ll view the mouse pointer turn into a small hand icon, and as you drag, you’ll see a small box which says “Move 1 conversation.” Remember, Gmail calls e-mail messages “conversations” because while you reply back and fourth with all the sender in the original e-mail, all those individual messages are “stacked up” on the top of one another in an ongoing “conversation.” When you get the box over one of the labels (the line of text because left column), simply release the mouse button, and also the conversation is going to be relocated to that label.
